Volunteer Self-Scheduling

Volunteer Self-Scheduling

(updated 8/187/2019)
Each Region 9 team is required to provide volunteers for a variety of essential duties during game days:  field set-up, snack bar, field help, field take-down, etc.  These volunteers are in addition to each team’s coach, assistant coach(es), team manager(s), team referee(s) and team sponsor(s).

We are continuing the self-scheduling system this year! Each team is expected to select:

Competitive teams (10U-14U) need to select:
Two (2) Volunteer Shifts during weeks 1-6 (1 adult volunteer per shift) and
One (1) Volunteer Shift during weeks 7-12 (1 adult volunteer per shift)

OR

One (1)
Volunteer Shifts during weeks 1-6 (1 adult volunteer per shift) and
Two (2)
Volunteer Shift during weeks 7-12 (1 adult volunteer per shift)

**Note: If you are not able to find 2 slots in Week 1-6, please schedule your team for the second half of the season to receive a total of 3 points.

Non-competitive teams (6U-8U)

One (1) Volunteer Shifts during weeks 1-6 (1 adult volunteer per shift) and
One (1)
Volunteer Shift during weeks 7-12 (1 adult volunteer per shift)

The self-scheduling procedures are as follows:
  1. Click here to go to the Volunteer Self Schedule web page.  There are several tabs at the bottom of the Google Sheet; select "Volunteer Self Schedule" to do the actual self-scheduling.
  2. Find a date and 2-hour time slot during the first 6 weeks (Sept 7 – Oct 12) that is convenient for your team’s volunteer.  For example, if your team has a game that starts at 9am on Sept 15th, you might want to choose a 6:30am – 8:30am shift on that date.
  3. Choose your team number (e.g. 7UG13) by clicking on the small upside-down triangle in the box which corresponds to your chosen date (e.g. Sept 15th) and time slot (e.g. 6:30am – 8:30am) and scrolling down the list of teams.  If you are unsure of your team number, click on the Coaches List 2019 (under Coaches) to see a list of teams and coaches.
  4. Find a date and 2-hour time slot during the second 6 weeks (Oct 20 – Nov 17) that is convenient for your team’s volunteer.  For example, if your team has a game that ends at 12:30pm on Nov 3rd, you might want to choose a 12:45pm – 2:45pm shift on that date.
  5. Choose your team number (e.g. 7UG13) by clicking on the small upside-down triangle in the box which corresponds to your chosen date (e.g. Nov 3rd) and time slot (e.g. 12:45pm – 2:45pm) and scrolling down the list of teams.  If you are unsure of your team number, click on the Coaches List 2018 (under Coaches) to see a list of teams and coaches.

Be sure to remind your team’s adult volunteer about their responsibilities several days before your selected date.  Tell them to check in 5-10 minutes before their shift begins at the Volunteer window to the south (or left) of the snack bar.  This is the same window that field monitors check in at if your team is the home team for a game.

Any teams that do not self-schedule one or two volunteer shifts during weeks 1-6 and one volunteer shift during weeks 7-11 will be assigned two volunteer shifts during the season.  Those assigned shifts will be as-needed by the Region.  The assigned shift could be hours before or hours after your team’s game, or could even be during your team’s game.
